Regional Administrator (Fixed Term Contract until August 2018)
The Regional Administrator is primarily responsible for organising and coordinating office operations and procedures, in order to ensure organisational effectiveness and efficiency within their own office and also others within the region.
Work requires detailed knowledge of company policies and procedures, limited access to confidential information. Some analysis and use of initiative and independent judgment. Work may involve making contacts of a sensitive, complex, and sometimes confidential nature both inside and outside of the company and operates with minimal day to day supervision.
Answer phones & check general office voicemail Maintain office diary Greet and attend to visitors Ensure visitors are aware of H&S; Policy Provide & record security badges/entry codes Manage incoming/outgoing post – including liaising with Post and Courier companies to ensure a smooth service and cost efficiency Ensure adequate supply of office stationery/equipment Review existing supplier prices and agreements to ensure best value for money are obtained – including possible consolidation across different offices within the region Organise and book travel as required (including, flights, taxis, hotels, hire cars etc). Review existing travel provider prices and agreements to ensure best value for money are obtained – including possible consolidation across different offices within the region Maintain any building and equipment service and contractual files and related purchase orders. Review existing supplier prices and agreements to ensure best value for money are obtained – including possible consolidation across different offices within the region Raise purchase orders and gain necessary approval for any other facilities requirements as needed Maintain a tidy and well organised Reception area Act as liaison with other sites Other duties as assigned
JOB MINIMUM REQUIREMENTS AND QUALIFICATIONS
Minimum of 2 years’ experience in a similar position. Good standard of education together with excellent organisation and communication skills.
This position will also provide assistance to the Accountant in the Gothenburg office, previous experience is desirable, but not essential, as full training will be provided.
